Selling service repair order data
Repair orders are usually the most licensable records a dealership holds: years of technician reasoning about real faults, tied to vehicle details rather than to people once names and VINs are removed. Nyne lists service histories among the records it takes; micro1 and Scale AI list operations and ERP records. No buyer publishes a price per RO.
Why would an AI company want repair orders?
A repair order is a small, structured case file. It starts with a customer's description of a symptom, records what a trained technician checked and found, and ends with the fix, the parts and the time it took. Thousands of them, across years and makes, describe how diagnostic work actually gets done.
That is the kind of record training-data companies say they want. Scale AI, for one, says it looks for real operational workflows and domain depth. It is also why the cause and correction lines matter more than the totals. A dealership whose technicians write full sentences has a better dataset than one where every line reads "replaced as needed".
Nothing in the buyers' published terms says a dealer must license every RO. You can license one store, one make, a range of years, or service only.
Which repair order fields can go, and which must come out?
Field by field, the way most DMS exports lay out an RO. Remove the personal fields before anyone outside the store sees an export.
| Field | Example | Action | Why |
|---|---|---|---|
| Customer concern | "Grinding noise from front when braking, worse in the morning" | Keep | Plain-language problem statements are the start of the reasoning chain. |
| Technician cause and correction | Diagnostic steps, measurements, the failed part, the fix | Keep | The most valuable part: expert reasoning written at the time of the work. |
| Labor operations and hours | Op codes, flagged and actual hours | Keep | Shows how work is scoped and timed. |
| Parts | Part numbers, quantities, sale price | Keep, check OEM terms | Manufacturer pricing and program data may be restricted. |
| Vehicle | Year, make, model, engine, mileage | Keep | Context for every diagnosis; not personal on its own. |
| VIN | 17 characters | Drop or truncate | Links the record to a registered owner. |
| Customer identity | Name, phone, email, address, signature | Remove | Personal data with no training value. |
| Advisor and technician names | Employee names and numbers | Replace with codes | A stable code keeps the pattern without the person. |
| Payment | Card numbers, payment method, account | Remove | Payment card data never leaves the store. |
General guidance for a de-identification pass. The buyer's own process and your lawyer decide the final list.
What makes one store's ROs better than another's?
Not size alone. These are the things a buyer's review tends to turn on.
Depth of history
Years in one system. A DMS conversion can leave older records in a different shape, or behind in the old vendor's archive.
Quality of the narrative
Full cause and correction notes beat codes and one-word lines. Spot-check a hundred ROs before you talk to anyone.
Breadth
Several makes, several model years, customer pay and warranty, maintenance and diagnosis.
Clean separation
Customer data in fields that can be dropped, not mixed into the notes.
Clear rights
A DMS agreement that lets you export your records, and no OEM restriction on the parts you include. See DMS contracts.

Repair order questions
Are service repair orders worth anything to AI buyers?
Nyne lists service histories among the records it takes, micro1 lists operations records and process documentation, and Scale AI lists ERP and support records. No buyer publishes a price per repair order; ranges are per company, on the buyers page.
How many years of repair orders do buyers want?
Nyne’s floor is three years trading. micro1 names no number, while treating a longer record as the better fit. Either way, an unbroken run in a single DMS beats history split by a conversion.
Do warranty repair orders belong to the dealer?
The RO is your record, but warranty claims are also submitted to the manufacturer under your sales and service agreement, which may limit how claim data is used. Read that agreement, or leave warranty claim detail out.
Can technician notes identify a customer?
Sometimes. Techs write things like "customer Mike says" or note an address for a pickup. A de-identification pass needs to read free text, not only drop the name columns.
Who removes the personal details?
Both sides should. Each buyer here promises de-identification, and Scale AI does it before data leaves your servers, but the store’s own pass comes first.

Roughly where the store is, how to reach you and a little about its systems: from that you get back a short list of named buyers whose posted rules the dealership clears, or a straight "none yet".
This form takes a description only. Do not attach or paste exports, screenshots, ROs or customer files; we never need them.
Disclosure: this is an introduction service, paid (when a deal happens) by the company we connect you with.
Received. Here is what we do with it.
- Your headcount, trading years and systems go up against every buyer's posted entry rules and record lists.
- You get an email naming the buyers you clear, with the rule behind each. If the store clears none, the email says which rule it misses.
- A reply of yes is the only thing that triggers an introduction. Contracts are signed between the dealership and the buyer, after your lawyer has read them.
